About these terms
These terms apply to the Khotwa Education Center website and to the portals used by parents, teachers and center staff. By using them you agree to these terms. A parent or legal guardian accepts them on behalf of each child they enroll.
Enrollment and the parent agreement
A student is enrolled by a parent or legal guardian. Before using the parent portal, the parent reads and accepts the center's parent agreement for each child. When the center publishes a new version of the agreement, it has to be accepted again.
Accounts and passwords
Accounts are created by the center; there is no public sign-up. Keep your password private and do not share your account. If you forget it, a reset code is sent to your email address. Tell the center straight away if you think someone else has used your account. The center may suspend an account that is misused or that is no longer needed, for example when a student leaves.
Learning services and attendance
Programs, subjects, teachers and timetables are planned around each student's needs and school day, and may change when needed. Attendance is recorded when the student arrives and leaves the center, and teachers record each subject session and any homework notes. Parents can follow all of this in the parent portal.
Fees and payments
The monthly amount for each student is agreed with the administration at enrollment and billed month by month. Every payment is recorded with its date, and parents can see what has been paid and what is still due in the parent portal. Paused months and any other arrangement are agreed with the administration in advance.
Behaviour and warnings
Students are expected to respect their teachers, their classmates and the center. A teacher may flag a concern, and the administration may then issue an oral or a written warning. Parents are informed through the portal. A written warning comes with a corrective task suited to the child's age, which the parent chooses from the options offered.
Reviews on the website
Parents may send one review of the center from the parent portal. A review appears on the website only after the administration approves it, and it is shown with the name on the parent's account. Editing a review sends it back for approval. The center may decline a review that is inappropriate or not about the center.
Information we keep
To teach and care for each student we keep: names in Arabic and English, date and place of birth, gender, nationality, blood type and a photo; parents' names, work and phone numbers, household size and other emergency contacts; health conditions, special educational needs and regular medicines; school, grade, study language, yearly results and the school timetable; attendance, homework notes, warnings, subscriptions and payments. For each account we also keep the email address, sign-in times, failed sign-in attempts with the network address they came from, the devices kept signed in, and phone notification subscriptions.
How we use and protect it
We use this information only to teach, to keep children safe, to stay in touch with families, and to run attendance and billing. It is seen only by the center staff who need it, by the child's own teachers, and by the parents linked to that child. We never sell it, and we share it with no one else unless the law requires it or a child's health is in danger. Passwords are stored encrypted and cannot be read by anyone, including the center. The public website shows only what the center chooses to publish: teacher profiles, approved reviews, and photos of the center, with children appearing only with their family's permission.
Keeping, correcting and deleting
We keep a student's information while they are enrolled, and afterwards only as long as it is needed for the center's records and accounts. Parents may ask at any time to see the information we hold about their child, to correct it, or to delete it. Payment records may have to be kept for the period the law requires.
Cookies and notifications
The site uses only the cookies it needs to work: one that keeps you signed in, and one for "Remember me" on a device you choose. Your language choice is saved in your own browser. There are no advertising or tracking cookies. Phone notifications are sent only if you allow them, and you can turn them off at any time in your browser settings.
Changes to these terms
When these terms change, this page is updated. Important changes are announced through the portal, and a change to the parent agreement has to be accepted again before the parent portal can be used.
